Codebooks Overview
Codebooks contain preset values that technicians choose when creating protocols. Well-maintained codebooks make the form faster to complete and keep names consistent across protocols.
Accessing codebooks
- Desktop: Click Codebooks in the left sidebar.
- Mobile: Tap More in the bottom bar, then Codebooks.
Note: Menu items are shown according to permissions configured by your administrator. If you do not see Codebooks, contact your administrator.
Codebook types
| Codebook | When to update it | More |
|---|---|---|
| Materials | When you use new products, baits, or tools | Materials |
| Installation types | When you need to record types of devices and installations | Installation types |
| Pests | When you want to add or refine pest species | Pests |
| Work types | When you change the main categories of services | Work types |
| Work subtypes | When you need more detailed work classification | Work subtypes |
| Recommendations | When you want reusable recommendation texts | Recommendations |
| Tags | When you want to color-label clients, sites, or protocols | Tags |
| Units | When you need measurement units and consumption conversions | Units |
Note: Some tabs may be shown only according to available features and permissions. If you can see a codebook but cannot edit it, you do not have permission to change it.
The URL changes according to the selected tab, for example /codebooks/materials or /codebooks/units, so you can share a direct link to a specific codebook.
Managing items
Most codebooks share the same basic operations.
Adding an item
- Select the required codebook tab.
- Click Add.
- Fill in the dialog fields.
- Click Add or Save, depending on the dialog.
Editing an item
- Click the ✏️ icon next to the item.
- Update the values in the dialog.
- Click Save.
Activation and deactivation
Deactivate outdated items instead of deleting them:
- Active items are available while working in the app.
- Inactive items remain in the codebook and historical records, but are not offered in new protocols.
Tip: Deactivation is safer than deletion if an item has already been used in protocol history.
Deleting an item
Click the 🗑️ icon and confirm deletion. If the item is used in protocols or linked to other data, Deratix may prevent deletion.
Item order
You can reorder items by dragging the move handle. The order is saved automatically and affects how items appear in the protocol form.
Search
The search field above the tabs filters the current codebook. For materials, it searches name, category, and unit; for units, it searches name and abbreviation.
Offline mode
In offline mode:
- you can view previously loaded codebooks,
- adding and editing are disabled,
- reordering is not available.
All codebook changes require an internet connection.
Tips
Tip: Put the most frequently used items at the top of the list. Technicians will find them faster when completing a protocol.
Tip: Use consistent names. The same material or work type should not appear under multiple similar names.
