Tags
Colored labels for categorizing clients and protocols. Tags enable flexible labeling and filtering of records.
Fields
| Field | Description | Required |
|---|---|---|
| Name | Tag text | Yes |
| Color | Background color | Yes |
| Entity type | Protocol or Client | Yes |
| Visibility | Who sees the tag (everyone or selected roles) | Yes |
Entity Type
Tags are separated by entity type:
| Type | Use |
|---|---|
| Protocol | Tags assignable to protocols |
| Client | Tags assignable to clients |
At the top of the page, you can filter the view by entity type.
Visibility
Tags can have different visibility:
- Everyone - the tag is visible to all users
- Selected roles - the tag is visible only to users with selected roles
This is useful for internal labels that the customer should not see (for example “Problem customer”).
Usage Count
The Usage column shows how many times the tag is assigned to entities. A tag with non-zero usage cannot be deleted. First remove it from all entities.
Order (Drag & Drop)
Tag order defines how tags appear in forms. To change the order:
- First select a specific entity type (Protocol or Client)
- Grab the ⋮⋮ icon on the left side of the row
- Drag it to the desired position
Note: In the “All” view, order cannot be changed. Select a specific entity type first.
Assigning Tags
Tags are assigned:
- In client detail - Client type tags
- In protocol detail - Protocol type tags
Tag Examples
For clients:
- 🟢 VIP customer
- 🟡 Regular service
- 🔴 Unpaid invoices (visible only to managers)
- 🔵 New customer
For protocols:
- 🟠 Requires follow-up
- 🟣 Complaint
- 🔵 HACCP audit
Editing a Tag
To edit an existing tag, click the ✏️ (pencil) icon in the item row. A dialog opens with current values.
In the dialog, you can edit:
- Name of the tag
- Color - selection from a color palette
- Entity type - Protocol or Client
- Visibility - who can see the tag
Save changes with Save.
Note: Changing the entity type may affect existing tag assignments.
Tips
Tip: Use consistent colors for similar tag types (for example red for issues, green for positive labels).
Tip: Keep the number of tags reasonable. Too many tags reduce their usefulness.
