Client detail

Here you will find a complete customer overview: contact details, sites, documents, tags, and protocol history.

Access

Open the client detail:

At the top you see:

  • Back button - returns to the client list and keeps filters
  • Client name - shown prominently

Header actions

Note: On mobile, Edit and Delete are available through the overflow menu (⋮). All edit actions require an internet connection. Button availability depends on permissions set by the administrator.

Contact and company details

The card shows the client’s basic details.

Contact details

Note: Phone and contact person are set on individual sites, not on the client.

Company details

For company clients:

  • Company ID - company identification number
  • Tax ID - tax identification number
  • VAT ID - VAT payer number

Clicking an email opens your email client.

Statistics and system details

The card shows:

Statistics

Last protocolDate of the latest protocol

If the client has protocols, View client protocols opens protocol history filtered to this client.

System details

  • Created - date the client record was created
  • Updated - date of the latest change

Tags

Note: The tags section is visible only if you have permission to view tags. The administrator manages permission settings in permissions settings.

Tags help categorize clients, for example VIP client, regular service, or preferred payer.

Managing tags

If you have permission to assign tags to clients:

  1. Click + Add tag
  2. Select an existing tag or create a new one
  3. The tag appears on the client

If you do not have permission to assign tags, they are read-only.

Client portal

The Portal access card shows whether the client has access to the client portal:

  • List of assigned users - email, name, and last login date
  • Account count - current status in brackets, for example “1/5”
  • Invite / Add button - sends a portal invitation

To create client access, follow Inviting a client to the portal.

Note: The invitation button is available only if you have the relevant permission set by the administrator.

Sites

This section shows all client sites (addresses). The default site is always first.

Viewing sites

On desktop, sites are shown in a table:

On mobile, sites are shown as cards with key information.

Site detail

Clicking a site row or arrow icon opens site detail with:

  • Statistics - protocol and document counts for this site
  • Site information - address, contact person, phone, email, opening hours, GPS location
  • Documents - documents assigned to the site, such as SDS, certificates, contracts, maps
  • Protocols - history of all protocols completed at the site

If the site has GPS coordinates, clicking the address opens it in Google Maps.

Site actions

If you have permission to edit the client:

Note: All actions require an internet connection. Every client must always have at least one site.

Adding a new site

  1. Click Add site in the section header
  2. Fill in the form:
    • Site name (required), for example “Warehouse” or “Bratislava branch”
    • Street and number (required)
    • ZIP code (required)
    • City (required)
    • Floor (optional)
    • Apartment / office (optional)
    • Contact person (optional)
    • Phone (optional)
    • Email (optional)
    • Opening hours (optional)
    • GPS coordinates (optional), set on the map or search for the address
    • Note (optional), internal note
  3. Click Save

Tip: Use map search - after entering the address, street, city, and ZIP fields are filled automatically.

Default site

The default site is used:

To change the default site:

  1. Click the star icon next to the required site
  2. Confirm the change in the dialog

Documents on a site

You can assign documents to a site, for example bait placement maps, contracts, or safety data sheets. One document can be assigned to multiple sites.

In the site detail, the Documents section lets you:

  • Upload a new document with the + button
  • Open a document preview
  • Edit or delete a document

Editing the client

How to edit details

  1. Click Edit in the header, or use the ⋮ menu on mobile
  2. A dialog with the form opens
  3. Change the required fields
  4. Click Save

What you can edit

  • Client name
  • Email and additional emails for protocols or invoices
  • Billing details (Company ID, Tax ID, VAT ID)

Note: Contact person and phone are edited at individual site level.

Who can edit clients

The administrator can grant these in permissions settings:

  • Edit all clients - user can edit any client
  • Edit own clients - user can edit only clients they created

Deleting a client

Delete process

  1. Click the red Delete button, or use the ⋮ menu on mobile
  2. Confirm in the dialog

Warning: Deleting is irreversible. The dialog warns you if the client has assigned protocols.

Who can delete clients

You need the relevant permission to delete a client. If you do not see Delete, you do not have permission to delete clients - contact the administrator.

Offline mode

In offline mode:

  • Client detail is available if it was previously loaded
  • Edit buttons are disabled
  • New protocol works and the protocol is saved offline

Tips

Tip: Use tags to quickly identify important clients.

Tip: For larger companies, add each site with a separate contact person. It makes field selection easier.

Tip: Set GPS coordinates for sites you visit often. It makes location-based selection easier.

Tip: Set the site where you work most often as default.

Tip: Click the document count in the sites table to quickly open documents for that site.
