Notifications

In Notifications, you set which address sends protocols, who receives them, and which service sends the emails.

Access

  1. Open Settings.
  2. Click the Notifications tab.

Sender

FieldDescription
Sender emailAddress shown to the recipient as the sender. With Deratix email, it is fixed to app@deratix.com.
Sender nameName shown in the email, such as your company name or “Deratix protocols”.

Recipients

After a protocol is sent, the email with the PDF attachment is delivered according to these switches:

Show recipient selection dialogAfter saving a protocol, a dialog opens where you choose recipients. If disabled, the email is sent automatically according to settings.
Preselect site emailThe selected site’s email is checked automatically in the dialog. The technician can uncheck it before sending.
Send internal copyA copy of every protocol is sent to an internal email.
Internal copy emailAddress that receives the internal copy. It appears when internal copy is enabled.

Recipient selection dialog

When recipient selection is enabled, you can:

  • send the protocol to the client,
  • send it to the selected site’s email,
  • add extra email addresses,
  • decide not to send an email.

Email sending service

Deratix supports three sending methods.

Deratix emailThe simplest option. Emails are sent from app@deratix.com and no custom domain setup is required.
Your email via DeratixThe recipient sees your company domain, while Deratix handles delivery. Requires DNS verification.
Custom SMTP serverUse it for a company mail server or professional email service when you know the SMTP details.

Your email via Deratix

  1. Enter a sender email on your domain.
  2. Click Register domain.
  3. Send the displayed DNS records to your domain administrator.
  4. After DNS is updated, click Verify DNS.
  5. Once verification succeeds, send a test email.

Note: DNS propagation can take several hours. If verification does not pass immediately, try again later.

Custom SMTP server

For known personal email services, Deratix shows a warning with the recommended steps. Personal accounts often require a special app password, have sending limits, and may not be suitable for business protocol delivery.

Tip: For reliable delivery, use Deratix email or Your email via Deratix. Choose custom SMTP mainly when you have a stable company mail server.

Backup sending

If your custom SMTP server fails, Deratix can use backup sending from app@deratix.com so protocols are not lost. The settings page shows a warning with the error and a recommendation to check SMTP details.


Test email

After saving settings, verify delivery:

  1. Enter a test address or leave the field empty to use your user email.
  2. Click Send test email.
  3. Check the result in settings.

Note: Testing is available only after settings are saved. If you have unsaved changes, save them first.


Sending a protocol

  1. The technician creates or sends a protocol.
  2. If the recipient dialog is enabled, they choose recipients.
  3. Deratix sends an email with the PDF protocol.
  4. If internal copy is enabled, it also sends a copy to the internal email.

Email content also depends on sections and visibility settings.


Troubleshooting

Emails are not delivered

  1. Check the spam or junk folder.
  2. Verify the recipient’s email address.
  3. Send a test email.
  4. If you use custom SMTP, check host, port, encryption, and login details.

Email lands in spam

The most common fix is to send from a verified company domain through Your email via Deratix, because SPF and DKIM records improve sender trust.

SMTP server is unavailable

Check whether the server is down, whether it allows connections from Deratix, and whether the settings are current. Then send a test email.


Tips

Tip: For sites with their own email, enable Preselect site email. The technician usually does not need to choose recipients manually.

Tip: If you need an internal record of all sent protocols, enable Send internal copy.

Tip: For more sensitive jobs, enable Show recipient selection dialog so the technician sees the exact addresses before sending.
