Sections and Visibility

The Sections and visibility tab defines which parts of the protocol appear in different places, and which rules apply when sending.

Note: Section order is fixed and cannot be changed.

Access

  1. Open Settings (from the left panel on desktop or through More on mobile)
  2. Click the Sections and visibility tab

Protocol Sections

The protocol contains these sections:

Required sections are always shown in the form and cannot be hidden. GPS coordinates are captured automatically and are not shown in the form; they are read-only in protocol detail.


Section Visibility

For each section you can set where it appears:

How to Edit Visibility

  1. Find the section in the table
  2. Check/uncheck boxes for the desired places
  3. Click Save at the bottom of the page

Dependency Rules

Some places are connected:

  • If you turn off Form - Client email, Manager email and PDF are also turned off automatically. If data is not filled in the form, it does not make sense to include it in email or PDF.
  • GPS coordinates - they are not shown in the form (captured automatically), but you can include them in protocol detail, PDF or email.
  • Signatures - available only in the form and PDF. They are not shown in emails or details because signatures are embedded directly in the PDF document.

Validation Rules

Under the form visibility switch, you will find validation rules. They define what happens when a technician or manager sends a protocol with missing data.

Validation Levels

For each item, you set a rule separately for technician and manager:

Technician vs. Manager

Rules are split into two columns:

  • Technician - rules when submitting for review (For review button)
  • Manager - rules when finally sending to the client (Send button)

Example typical setup:

In this example, the technician gets a warning if their signature is missing (but can continue), while the manager cannot send the protocol without the technician signature.

How to Configure Validation

  1. Find the section with validatable items (shown under the Form switch)
  2. For each item, choose a level for Technician and Manager from the dropdown
  3. Click Save

Note: Validation rules appear only for sections that are visible in the form. If you turn a section off in the form, its validation is not required automatically.

How Validation Works in Practice

When a technician or manager clicks to send a protocol:

  1. The application checks all rules for their role
  2. If all data is complete, the protocol is sent
  3. If something is missing:
    • Warnings (yellow) - a dialog appears with the option Continue anyway
    • Required (red) - the dialog blocks sending and the user must go back and complete the data

Restoring Defaults

To return all visibility and validation settings to their original values:

  1. Click Reset to default
  2. Confirm in the dialog
  3. All sections return to default values

Practical Examples

Simplified Form for Technicians

If technicians usually do not fill in some sections:

  1. Uncheck Form for the “Deficiencies” section
  2. Uncheck Form for the “Additional information” section
  3. Save changes

These sections will no longer appear in the form, email or PDF.

Strict Quality Control

If you want protocols to always contain complete data:

  1. Set Technician signature to Required for manager
  2. Set Client signature to Required for manager
  3. Set Photo documentation to Warning for technician
  4. Set Contact person to Required for technician and manager
  5. Save changes

The manager will not be able to send the protocol without both signatures, and the technician will receive a warning if they do not attach photos.

PDF Without Internal Notes

Internal notes should not appear in the document for the client:

  1. Uncheck PDF for the “Notes” section
  2. Uncheck Client email for the “Notes” section
  3. Keep Detail (internal) checked so only employees see the notes
  4. Save changes

Simplified Client Portal

The client does not need to see everything:

  1. Uncheck Detail (client) for the “Materials” section
  2. Uncheck Detail (client) for the “GPS coordinates” section
  3. Save changes

Tips

Tip: Start with the default settings and adjust them gradually according to your needs.

Tip: A section can be visible in the form but not in the PDF, for example internal notes.

Tip: Set stricter rules for the manager and softer rules for the technician. The technician can work faster and the manager ensures quality at the final review.

Tip: If you change validation rules, it affects only new protocols. Existing protocols stay unchanged.
